Receptionist/ Office Manager

Are you an organised, customer focused receptionist with previous office management experience? Look no further!

We are looking for a Receptionist / Office Manager to be responsible for the efficient running of the Air Partner Head Office reception, ensuring excellent customer service is delivered to all internal and external customers. You will also take control of the office and facilities management for the Air Partner Head Office space and provide administration support to the Operating Board members.

This position is based in our friendly Gatwick office, is a permanent, full time role and hours are 9.00am to 5.30pm – Monday to Friday.

What you will be doing:

Reception (based on the front desk)

- Answering the main Air Partner telephone line dealing with calls in an efficient and timely manner, directing them to the relevant staff members if required

- Greeting all visitors in a professional and courteous manner

- Managing the daily incoming and outgoing post

- Booking couriers and dealing with deliveries

- Ensuring the security and fire procedures for visitors are adhered to

- Setting up and clearing meeting rooms

- Ordering office lunches, drinks and refreshments for meetings

Office and Facilities Management

- Ordering stationary as required

- Being the first point of contact for all facilities issues, dealing with problems in a timely and efficient manner

- Liaising with the Building Manager where necessary

- Set and fully control the Office Admin budget

- Ordering of all kitchen supplies and office stationery as required demonstrating control of costs and effective stock control

- Managing and monitoring of pool car bookings (including ensuring mileage records, tax requirements and services/MOT’s are all accurate and up to date)

- Managing the car parking spaces within the office, allocating spaces to new joiners and ensuring spaces used to the maximum

- Managing of archiving information at offsite storage unit

- Providing induction training to staff on basic admin tasks and Health & Safety

- Managing the maintenance schedules to ensure work and checks carried out on time, ensuring good relationships are maintained with the service providers

- Ensuring the nominated First-Aiders and Fire Wardens are adequately trained and organise outsourced training where required

- Managing relationship with cleaning company ensuring an excellent service is received at all times as per contract

- Ensuring that office areas and meeting rooms are kept clean and tidy

Administration Support

- Providing administration support to the Operating Board members which can include but not limited to collating expenses, diary management and preparing presentations

- Providing administration support to the Group functions

- Providing PA Support to the CEO when their EA is on holiday

Job Knowledge, Skills & Experience

You will be a self-motivated and assertive individual, able to work and deliver to deadlines without supervision. You will also:

- Have a background in Reception / Office Management / PA work

- Have experience working in a busy environment with changing priorities

- Have excellent multi-tasking skills and a keen eye for detail

- Have strong administrative and organisational skills

- Have an excellent level of IT literacy and strong competencies in all Microsoft packages (Word, Excel, PowerPoint and Outlook) – this will be tests at interview

- Have good Outlook diary management skills

- Have an excellent telephone manner with strong verbal and written communication skills, ability to communicate well at all levels

- Be positive and flexible in approach and willing to go the extra mile

- Have experience working in a busy environment with changing priorities

- Have a pragmatic approach to problem solving
