Operations Administrator Advert

We are looking for a dynamic, proactive and practical Operations Administrator to join our friendly Gatwick based office for a maternity contract of between 12-18 months, Starting as soon as possible.   You will provide day-to-day operational support to the Operations Manager and the wider business and to be a pivotal, highly available point of contact within our head office.  

What you will be doing: 

- Ensuring the smooth running of the Head Office and being highly available as a contact point during working hours Monday to Friday

- Supporting the General Manager with the running of the operation from Gatwick

- Ensuring company, staff and vehicle records are up to date and accurate

- Managing our fleet of company vehicles including noting location, tracking mileage, organising tax, insurance and fuel requirements

- Managing and controlling monthly field / site reporting

- Supporting and query resolution for 90+ remote workers

- Overseeing and managing the company central email accounts

- Corresponding and managing external agencies, e.g. insurers, suppliers, etc.

- Managing diaries, controlling future delivery of key tasks, meetings and events

- Taking responsibility for processing all incoming and outgoing mail

- Providing finance support, including processing company credit cards

- Secretarial duties and maintenance of filing and records 

 - Assisting HR with processing starters and leavers 

- Assisting with annual BSI audits to gain accreditation for these standards

- Managing the Integrated Management System including Health and Safety, Environmental and Quality standards

What we are looking for:

- An ability to work well under pressure with varying demands on your time 

- Proficiency and working knowledge of Microsoft Office Word, Outlook and Excel 

- A proactive and practical approach when solving and answering queries

- Previous experience in a health and safety role would be highly desirable  

- Previous experience in an office management role with remote workforce preferable
