Project Support Coordinator

Baines Simmons offers consulting, training and outsourced services, across all sectors of aviation, acting as trusted advisors to businesses, armed forces, governments and regulators, helping to ensure our skies are safe.  We are looking for a Project Support Coordinator to support the business, dealing with both internal and external customers.  You will offer world-class logistical administration including scheduling and support to clients, projects, consultants and all internal staff. 

You will contribute to enhancing aviation safety and airworthiness by providing an excellent service, ensuring continuous efficiency and effectiveness as well as maintaining strong communications with all of your customers. 

This is a permanent, full time role working 35 hours per week on a shift system.  Sifts are either 8.30am until 4.30pm or 9.30am until 5.30pm with an hour for lunch, Monday to Friday.  You would also be required to participate in the on-call rota for one weekend out of every four as things stand. 

Please also note that this role is based at Fairoaks Airfield in Woking (GU24 8HU) which has no public transport links, so a driving licence and a vehicle would be essential for anyone applying.  

What you will be doing: 

- Scheduling consultant engagements

- Supporting projects mainly for in-company training courses which includes comprehensive logistics and administration to be provided within the required timeline

- Liaising with consultants to ensure accurate diary input is replicated on business control systems e.g.  scheduling tool, CRM 

- Building strong service relationships with internal and external clients, providing effective and efficient support to all 

- Managing an efficient travel process for your assigned client – arranging hotel bookings, travel tickets and arranging and chasing visa applications

- Supporting the project(s) closure process, liaising with Accounts & Business Development regarding Invoicing accurately and post project completion feedback & certification

- Supporting reception duties (where required) ensuring a world-class first point of contact 

- Upholding the key values of Baines Simmons ensuring a positive and lasting impact is made on every contact

- Undertaking general administrative or ad-hoc duties as directed by Management

- Taking responsibility for the on call ‘duty manager’ role in conjunction with the rota (currently one weekend in four) 

What we are looking for:

- Ideally experience in a similar role   

- Excellent organisation skills

- Excellent attention to details

- Experience in an administrative, office-based role for at least a few years 

- Excellent written and verbal communication skills

- Good computer skills with good working knowledge or Microsoft programmes including Outlook, Word and Excel, and CRM system, 365

- An ability to cope well with varying demands on your time in a pressured environment

- An enthusiastic and friendly attitude 

- An ability to think on ones feet and problem solve under pressure 

- Flexibility to participate in the shifts and on call rota      

- A driving licence and vehicle in order to get to and from the office
